Sydney Musical Theatre PTY LTD ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy outlines how we collect, use, store, and disclose your personal information.
1. What Information We May Collect
We may collect the following types of personal information:
- Name and contact details (email address, phone number, mailing address)
- Payment or billing information in connection with ticket purchases or service bookings (see Section 6 - note that we never see or store your card details)
- Social media handles or preferences, when you interact with our content
- Demographic information (e.g. age range, interests), if voluntarily provided
- Photographs, video, and audio recordings of participants and audiences at our events, rehearsals, and productions
- Any other information you choose to provide via web forms, surveys, or correspondence
We do not knowingly collect personal information from children under the age of 15 without the consent of a parent or guardian, except as described in Section 2 (Children and Performers) below.
We may also collect publicly available information that you have shared via social media or other online platforms, particularly where you tag or mention us.
2. Children and Performers
Many of our productions involve performers under the age of 18, including children under 15. Because of this, we collect and handle certain information specific to child participants:
Recordings and photography:
We record and photograph rehearsals and performances, and this may include children under 15 who are performing in our shows. We use this footage and these images for archival purposes, and may also use them for promotional purposes (e.g. our website, marketing materials, and social media). Consent for a child's participation in filming and photography is obtained from a parent or guardian as part of the production enrolment or participation process. If you are a parent or guardian and do not wish your child to be photographed, filmed, or recorded, or wish to withdraw consent for existing footage or images to be used, please contact us using the details in Section 12 and we will work with you to accommodate this where reasonably possible.
Working With Children Checks:
All performers, staff, volunteers, and other personnel working with children as part of our productions are required to hold a valid Working With Children Check (WWCC). We verify these checks through the NSW Office of the Children's Guardian before a person is permitted to work with children in our productions, in accordance with our child protection policy.
Parental/guardian control:
Where a participant is under 18, we treat their parent or guardian as the appropriate point of contact for privacy requests (access, correction, deletion, or withdrawal of consent) relating to that participant's personal information.
3. How We Collect Your Information
We collect personal information in a variety of ways, including:
- When you sign up to our mailing list or promotions
- When you contact us via email, phone, or online forms
- When you purchase tickets through our ticketing platform (currently Tixly; previously TicketSearch)
- When you make a payment through our payment processor (Stripe)
- Automatically, through cookies and analytics tools on our website (Google Analytics, Meta Analytics)
- Via recordings, photographs, and audio captured at our events, rehearsals, and productions
- From publicly available sources, such as social media, where you tag or mention us
- From parents or guardians, in connection with a child's participation in a production
4. Why We Collect Your Information
We collect, hold, and use personal information to:
- Process bookings, ticket purchases, and transactions
- Communicate with you about events, shows, or services
- Send you updates, promotions, and newsletters (with your consent)
- Administer and deliver our productions, including managing performer participation and child safety requirements
- Create archival and promotional material from our productions
- Improve our services, content, and audience experience
- Comply with our legal, regulatory, and child-safety obligations
5. Notice at Collection
Where practicable, we provide a link to this Privacy Policy at the point personal information is collected; including on our mailing list sign-up form and at ticketing checkout, so you can review how your information will be handled before you provide it.
6. Payments
All payments made through our website are processed entirely by 'Stripe', our third-party payment processor. We do not receive, see, or store your credit card or other payment card details at any point - these are collected and processed directly by Stripe in accordance with its own security standards and privacy policy. We recommend reviewing Stripe's privacy policy for details of how it handles your payment information.
7. Disclosure of Personal Information
We may share your personal information with the third-party service providers we use to operate our business, including:
- 'Tixly' (ticketing platform) and, for historical bookings, 'TicketSearch', our previous ticketing provider
- 'Stripe' (payment processing)
- 'Brevo' (email marketing and mailing list management)
- 'Google Analytics' and 'Meta Analytics' (website and marketing analytics)
- Government or regulatory bodies, where required by law (including child-safety authorities in connection with WWCC verification)
When you purchase tickets or provide information through a third-party platform such as Tixly or Stripe, that platform's own privacy policy will also apply to your information. We encourage you to review their policies.
We will never sell your personal information.
8. Storing and Securing Your Information
We store personal information on secure servers and take reasonable steps to protect it from misuse, loss, unauthorised access, or disclosure, including through encryption, secure payment gateways (via Stripe), and limited staff access.
Data breaches:
If we become aware of a data breach that is likely to result in serious harm to individuals whose personal information we hold, we will assess the breach and notify affected individuals by email as soon as practicable, along with any steps we recommend you take. Where required by law, we will also notify the Office of the Australian Information Commissioner (OAIC).
9. Retention
We retain personal information only for as long as necessary to fulfil the purposes described in this Policy, or as required by law. This means:
- Mailing list details are retained until you unsubscribe or ask us to delete them.
- Ticketing and payment-related records are retained as needed for transaction, accounting, and legal purposes.
- Archival photographs, video, and audio of productions (including those involving child performers) may be retained indefinitely for historical and archival purposes, subject to any request from a parent or guardian under Section 2.
Where we no longer need personal information, we will take reasonable steps to destroy or de-identify it.
10. Cookies and Website Analytics
Our website uses cookies and analytics tools, including Google Analytics and the Meta Pixel. Some of these cookies are set by third parties and may track browsing behaviour across websites, helping us understand how our marketing campaigns perform and tailor content to users. You can manage or disable cookies through your browser settings; note that doing so may affect some website functionality. You can also opt out of Google Analytics and Meta's ad tracking directly through those providers' own tools.
11. Access, Correction, and Complaints
You may request access to the personal information we hold about you, and request corrections if it is inaccurate, incomplete, or outdated. For information relating to a child, please contact us as the child's parent or guardian.
